Who is responsible

Saranor Technologies, known as Saranor, is an Ontario sole proprietorship providing operational intelligence and AI-enabled operational systems. Saranor Technologies is responsible for the personal information described in this policy.

Junaid Shah, Founder & CEO, is our privacy accountability owner. Direct privacy inquiries, access or correction questions, and concerns to privacy@saranor.ca. This policy covers the public website and business-inquiry process. Client engagements may require separate data-handling arrangements.

Information we collect

We primarily collect information you voluntarily provide when contacting us. Our contact form requires your name, email address and message; organization is optional. We may also receive information you provide in follow-up communications.

Inquiry processing may generate a reference, receipt and processing information, and acknowledgement or workflow statuses. Hosting and service providers may process ordinary technical information, such as IP addresses, browser or request information and timestamps, when delivering the website or handling a submission.

Please do not send sensitive personal information, patient information or records, passwords or credentials, or confidential client datasets through the general inquiry form. Agree an appropriate scope and transfer method with Saranor before providing client information.

How we use information

We use inquiry information to receive and assess business inquiries, respond to you, send acknowledgements and other transactional communications, and manage prospective business relationships. An automated acknowledgement may be followed by human review and follow-up.

Where applicable, information also supports operating, protecting and improving the website and intake process, resolving processing problems, and meeting legitimate business or legal requirements. Submitting an inquiry does not subscribe you to a marketing list.

Service providers and disclosure

We use service providers for website and form hosting and processing, transactional email, and selected inquiry and workflow records in Microsoft business systems. The current intake uses Netlify for hosting, forms and serverless processing, Resend for acknowledgement emails, and Microsoft business systems for selected lead records.

A form submission may be held by the form-hosting provider, while selected contact and workflow fields are recorded in Microsoft business systems. Email providers process information needed to deliver acknowledgements and related communications. Providers may process information on our behalf under the applicable service arrangements, including operational and security processing.

Provider processing and storage may occur outside Canada. We do not promise that all information remains exclusively in Canada. Information may also be disclosed where required by applicable law or to address a legitimate legal obligation.

Cookies and similar technologies

No application-level website analytics, advertising trackers or non-essential tracking technologies were identified in the website implementation reviewed for this policy. Ordinary hosting, security and browser technologies may still be involved in delivering the website, so this is not a promise that every provider or browser interaction is cookie-free.

The public demo uses synthetic scenarios and local page interactions. It does not require you to submit client information.

Retention and safeguards

We retain information only for as long as reasonably necessary for the purposes for which it was collected and applicable business or legal requirements. The appropriate period depends on the inquiry, relationship, record and any applicable obligation; no single deletion period applies to every record.

We use reasonable safeguards appropriate to the information and its use, including controlled access and server-side handling of service credentials in the website intake process. No website, transmission or storage method can be guaranteed absolutely secure.

Questions, access and correction

Email privacy@saranor.ca to ask about our handling of your information, request access or correction, raise a concern, or discuss withdrawing consent where relevant. We may need information to verify your identity and understand the request before responding.

We will consider requests in light of applicable requirements and any legitimate need to retain records. Please describe the request without including passwords, patient records or other unnecessary sensitive information.
